To request an accurate custom umbrella quote, provide six things: quantity; a reference product or your intended use and budget; canopy printing; handle customization; quotation scope and destination; and the date you need the goods to arrive. If you have not chosen a model, describe your purpose and priorities and ask the supplier to recommend suitable options.
You do not need to understand rib wire diameters or every fabric specification before asking an umbrella factory for a price. We first need to know how the umbrellas will be used, how many you need, what will be printed, and where and when they must arrive.
A clear request for quotation (RFQ) gives the supplier a basis for pricing. It also helps you compare suppliers on the same product configuration and the same included costs.
What if you already have a sample—or have not chosen a model?
If you have a reference product
Send photographs, a physical sample or a specification sheet. Explain which features must stay the same and which should change. For example:
We need a three-fold umbrella similar to the attached reference, with the same one-color logo on four canopy panels and laser engraving on the handle. Please see the quantity breakdown and artwork attached, and confirm whether this handle is suitable for laser engraving.
A photograph can show the appearance, but it may not reveal the materials or internal construction. Further confirmation is needed before treating two umbrellas as the same specification.
If you have not selected a product
Start with the intended use, quantity, budget and main priorities. For example:
We are sourcing umbrellas for an event giveaway. They should be easy to carry, reasonably durable for everyday use and within our budget. Please recommend one or two models based on our quantity and requirements.
State the budget amount and currency, and whether it is a per-umbrella product budget or a total budget including shipping. If the budget is not decided, say so. The supplier can help narrow down the options based on how the umbrellas will be used.
Rib dimensions, carton sizes and gross weight can be verified after a model is selected. Buyers do not need to supply every technical detail in their first email.
The six information categories needed for a custom umbrella quote
| Information | What to provide |
|---|---|
| 1. Order quantity | Number of umbrellas for each model, size and color—not only the combined total. |
| 2. Model and intended use | Reference photos, a sample or specifications. If undecided, provide the use, budget and main preferences. |
| 3. Canopy printing | Logo or artwork, print locations, dimensions, colors and coverage. |
| 4. Handle customization | Whether printing or laser engraving is needed, including the content, position and size. |
| 5. Quote scope and destination | Required packaging, shipping and tax scope; destination country, city and postal code. A detailed address is needed to confirm door-to-door delivery costs. |
| 6. Required arrival date | When the goods must be received, and whether there is a fixed event date. |
Write “please recommend” wherever you need help. Include any requirements for printed boxes, gift boxes, labels, special packaging or accessories. This separates confirmed requirements from decisions that still need discussion.
Why are “simple printing” and “color printing” not specific enough?
“Simple printing” might mean one small logo, or the same single-color logo on four panels. “Color printing” could mean a multicolor logo or artwork covering the whole canopy. The work involved is different.
Multicolor printing does not automatically mean full-canopy printing. The quotation depends on the artwork, color requirements, print area, position and production method.
| Printing request | Details to confirm |
|---|---|
| Simple logo printing | What design, on how many panels, at what size, and in how many colors? |
| One-color logo on four panels | Is the artwork identical on all four panels? Are the positions and sizes the same? |
| Multicolor logo | Does it include gradients or photographs? Where is it printed and how much area does it cover? |
| Full-canopy artwork | Does it cover the entire canopy? How is it arranged, and does the design need to align across panel seams? |
| Laser-engraved handle | What content, position and size? Is the handle material and surface finish suitable? |
If the design is not finished, send the logo file and a simple placement sketch. A supplier can discuss an indicative quote with its assumptions stated. The printing price should then be confirmed against the approved artwork and process.
Ask for any printing setup, sampling or other one-time fees to be identified. Check whether they are charged separately or included in the unit price. Our sample-cost case comparison explains why development requirements can change the fee. For artwork crossing seams, see our umbrella pattern-matching guide.
Is the diameter enough to quote a beach umbrella?
No. A 1.8-meter or 2-meter diameter is a starting point, but the frame, fabric, printing and intended use must also be confirmed. State whether the measurement is the open diameter so it is not confused with a measurement along the canopy curve.
Short-term event displays, outdoor advertising and frequent use may require different configurations. A smaller diameter should not automatically be taken to mean a lighter frame.
- Explain whether the umbrella is for an event, advertising display or everyday shade.
- State whether use will be occasional or frequent.
- Provide a reference product or specific durability requirements, if available.
- Explain whether the priority is cost control or durability.
- Say whether a base or other accessories are required and should be included in the price.
The supplier can then recommend a configuration with a clear basis for the quotation.
How should you describe a folding umbrella for giveaways?
A “folding giveaway umbrella” can still mean a three-fold, four-fold or five-fold design, with manual opening, automatic opening, or automatic opening and closing. Mention any preference you already have.
If you are unsure, explain whether compact size, ease of use, durability or price matters most. Instead of only saying “stronger” or “premium,” describe frequent carrying, repeated opening and closing, or particular concerns about the frame, handle or fabric. Those details are more useful for selecting a suitable product.
Why should the product be selected before shipping costs are confirmed?
Umbrella models differ in weight, folded length, packing method and quantity per carton. A meaningful freight quotation needs a defined product and packing basis.
- Select a candidate product using a sample, or your intended use and budget.
- Confirm model, quantity, printing, handle and packaging requirements.
- Ask the supplier to verify carton dimensions, carton count and gross weight.
- Check the transport options and costs against the destination and arrival deadline.
An early freight estimate can help you assess the overall budget, but it should identify the assumed product, quantity, packaging and destination. Keep an estimate distinct from the final confirmed cost.
Does door-to-door delivery include import duties?
Not automatically. Confirm who handles import clearance and pays duties, taxes and related charges. Under Incoterms® 2020, DAP and DDP assign import responsibilities differently: the buyer handles import clearance under DAP, while the seller handles it under DDP. See ICC Academy’s explanation of DAP and DDP.
What should an FOB quote specify?
An FOB quote should name the port of shipment. FOB is for sea or inland waterway transport and does not mean the overseas main freight is included in the seller’s price. For other transport arrangements, confirm an appropriate delivery term with the supplier and logistics provider. See ICC Academy’s explanation of FOB.
Production time and transport time should be listed separately. The date the factory finishes the umbrellas is not the date you receive them. Give the supplier your required arrival date, especially when the order is for an event.

Frequently asked questions
Can I get a quote without a physical sample?
Yes. Provide the quantity, intended use, budget or main preferences so the supplier can recommend a specific product. A preliminary price before the configuration is confirmed should not be treated as the final order quotation.
Do I need to know the rib wire diameter?
No. Start with the use and durability requirements. The supplier can help select a model and explain its configuration.
Can I request a quote with only a logo file?
Yes, for an initial discussion. Print locations, dimensions, colors and coverage must be clarified before the printing cost can be confirmed more accurately.
Can shipping be estimated without a full address?
The destination city and postal code can support an initial discussion. Confirming delivery to a specific address requires the full address and appropriate packing data.
Who provides gross weight and carton dimensions?
When buying a supplier’s product, the supplier normally verifies these figures against the selected model, quantity and packaging. If the product or packaging changes, the figures need to be checked again.
How can I reduce back-and-forth emails?
Put the requirement list, reference photographs and artwork in one email. Mark what is confirmed and what needs a recommendation. Use the same brief when asking different suppliers for quotations.
Compare the requirements before comparing prices
A useful custom umbrella inquiry is not a test of the buyer’s technical knowledge. It tells the supplier what is already known and asks them to identify the remaining specifications and costs. For the next steps, read our six factors behind umbrella price differences and custom umbrella order process.
