How to Order Custom Umbrellas: From Your First Idea to Delivery

By the Hand in Hand Umbrella factory team

How do you order custom umbrellas?

Start with a reference image, an existing sample or a preferred umbrella model. Confirm the quantity, use, specifications and quotation; approve the artwork and any agreed pre-production samples; then confirm the order and deposit. Hand in Hand Umbrella arranges production, inspection and delivery against the agreed requirements. Sampling, payment terms and spare units depend on the individual order.

“Can you make this from a picture?” “Do I need a sample first?” “When do I pay the deposit, and how do I check the finished umbrellas?” These are questions we regularly hear from first-time buyers. The practical answer is to turn an idea into a clearly agreed specification before starting bulk production.

1. Start with the umbrella you have in mind

You do not need to know every fabric or frame name before contacting a factory. You may choose a model from our umbrella range, refer to a sample we previously sent, provide an umbrella you already use, or send a reference photo.

Tell us whether you need folding umbrellas, golf umbrellas, sun umbrellas or beach umbrellas, approximately how many you need, how they will be used and whether they need a logo. A photo can show the appearance, but it cannot reliably establish the materials or internal construction. Those details still need discussion.

2. Agree the specification before comparing the quotation

We confirm the umbrella dimensions, fabric, frame, colors, handle and printing requirements. If you supply a physical reference, tell us whether you want the configuration matched as closely as possible or only want to use the style as a starting point with different materials.

Two umbrellas can look similar but use different components and workmanship. Once the requirements are sufficiently clear, we provide a quotation. If the price is outside your budget, we can discuss configuration changes and quote again. Our guide to six factors behind custom umbrella prices explains what to compare.

3. Approve the logo layout before it is printed

For branded orders, we prepare a digital layout or visual mockup based on your requirements. This lets you review the logo position, size and overall arrangement, request changes and approve the revised version.

A mockup confirms the layout, not the physical quality of the umbrella. Fabric feel, frame construction, workmanship and opening and closing operation need to be assessed on a physical sample when those checks are required.

4. Use a pre-production sample to resolve details early

The sampling approach depends on both quantity and complexity. For some simple orders of around 100–200 umbrellas, it may be possible to agree a simplified sampling process after the specification and design are confirmed. A small quantity does not automatically mean that sampling can be skipped: complex customization may still need a physical sample.

For orders involving thousands, tens of thousands or more umbrellas, we place particular emphasis on pre-production approval. Finding an unsuitable logo size or fabric after the full batch has been made is much harder to resolve.

  • Check the printing, including logo size and position.
  • Inspect the fabric, frame and assembly workmanship.
  • Open and close the umbrella and assess its handling.
  • Resolve changes on the sample before moving forward.

We normally prepare two approval samples. Both parties sign and seal them, with one retained by the buyer and one by the factory. The factory then has a production reference, and the buyer has a reference for incoming inspection. For more background, read why custom umbrella sampling can involve a fee.

5. Confirm the order and payment arrangements

After sample approval, large orders proceed to a formal contract covering product requirements, quantity, price, delivery and payment. Smaller orders may use simpler paperwork, but the essential requirements still need clear confirmation.

Deposit percentages are agreed for each order. Some ordinary orders may use a 30% deposit; orders with advertising printing or other customization may use 50%. These are examples from our ordering practice, not a universal payment policy. The order or contract confirmed by both parties takes precedence.

Once the necessary approvals are in place and the agreed deposit has arrived, we organize production. We contact you if a production detail needs further discussion. Confirm the delivery schedule for your particular configuration and quantity rather than assuming one standard lead time applies to every order.

6. Check the finished umbrellas and packaging

When production is complete, you can visit the factory to inspect the goods. If visiting is not practical, tell us which details you want to see so we can provide photos or videos of the umbrellas and packaging.

Agree the inspection method and points to check in advance. Photos and video are useful for remote visual checks, but they do not let you physically feel the fabric or perform every functional check. The approved specification and retained sample remain important references. See our umbrella quality control information.

7. Arrange dispatch and check the shipment on arrival

We normally arrange dispatch after receiving the balance payment. Container loading or delivery to a designated location follows the agreed order arrangements. Confirm the handover details before production so both sides know what is included.

After receipt, check the quantity and product condition before distributing, selling or using the umbrellas. For shipments with destination-specific packing requirements, confirm these with the order rather than leaving them until dispatch; our Germany and EU umbrella packaging guide covers relevant questions.

Why discuss spare umbrellas before placing the order?

Umbrella manufacturing includes manual operations and assembly. An occasional issue may only become apparent during use, such as a problem at a frame connection. If that happens, send us photos or video and the affected quantity. We review the issue and discuss the appropriate handling or replacement.

For some orders, we also discuss spare units in advance, based on the quantity and intended use. Whether spares are included, how many are supplied and any related arrangements must be agreed when ordering.

For example, if umbrellas are being handed out at an event, an agreed supply of spare units can help replace an individual item without disrupting the event while we follow up on the reported issue. Our aim is to think about after-sales support before the umbrellas are needed—not to leave all of that planning until a problem occurs.

What should you send with your first inquiry?

  • A preferred model, reference image or details of an available sample.
  • The estimated order quantity and intended use.
  • Your logo or artwork and any known printing requirements.
  • Preferred dimensions, colors, materials or handle details, if known.
  • The delivery destination and the date you hope to receive the goods.
  • Any special packaging or inspection requirements.

If some details are undecided, say so. We can work through them with you before finalizing the specification.

Frequently asked questions

Can I order custom umbrellas with only a photo?

Yes. A reference photo is a useful starting point. It can show the style and appearance, but fabric, frame construction, dimensions and other specifications still need to be confirmed before production.

Does every custom umbrella order need a physical sample?

Sampling depends on the order quantity and complexity. For some simple orders of around 100–200 umbrellas, the buyer and factory may agree to simplify sampling after confirming specifications and artwork. Complex customization may still require a sample even at a small quantity.

Why should both sides keep a signed approval sample?

The approved sample provides a shared reference for production and incoming inspection. We normally prepare two approval samples, signed and sealed by both parties, with one retained by the buyer and one by the factory.

What deposit is required for a custom umbrella order?

The deposit is agreed for the specific order. Some ordinary orders may use a 30% deposit, while orders with advertising printing or other customization may use 50%. These are examples, not a fixed rule; the confirmed order or contract governs.

Can I inspect the umbrellas without visiting the factory?

Yes. Tell us in advance which details you want to check, and we can provide photos or videos of the products and packaging. Remote visual checks do not replace hands-on checks of feel or performance. Agree the inspection approach before production.

Are spare umbrellas included automatically?

No. For some orders, we discuss spare units based on quantity and intended use. Whether spares are supplied and how many should be agreed when ordering.
